Bella Volunteers Management portal is a CRM platform for the non-profit organization to manage their volunteers. It has two portals, one for the volunteer admins and one for the volunteers. For this project, our team focused on redesigning the homepage and scheduling page for volunteers portal, where volunteers can sign up for available shifts and manage their current shifts.
When we received this project, one of the most prominent questions is what information do users want when they first logged in. After collecting feedback from the users, we found out users' primary task is to view or change their shifts. Also, our shareholders want to incentivize volunteers to sign up for new shifts by adding a personal monthly goal and achievement section. So based on the information, we try to make homepage into a dashboard that can do more.
We try to fulfill all users' immediate needs in the new designs. To address the pain point that users can't modify their upcoming shifts , new designs include a list view of their shifts where they can view, edit or cancel those shifts, and a new calendar view for user upcoming schedule.
This section is giving users an easy way to manage all their shifts in one place.
A new calendar view give users a glance of their schedule of the month.
One modal for all the schedule changes users need.
When redesigning the scheduling page, we got a lot of feedback from users and the client requesting a calendar view for all the available shifts. But our team decide to find out more about what users actually need from a calendar view, while it's convenient to have a glance of the month, it will sacrifice being able to scan shift details in one view.
For New UI, we decide to design a monthly and a weekly calendar view, a monthly calendar view is great for experienced volunteers and leads to have a high-level glance for how the monthly schedule look like.
In the monthly calendar view, some shifts that are critical to the organization can be easily seen, which helps volunteer admins to recruit for those important shifts.
When user selected a certain day in the calendar view, all the shifts available that day is presented in a list view.
One modal for all the information users need to sign up for a shift.
We designed a new shift style called drop in. In old UI, users choose a start and end time for any shifts that they are signing up, regardless the type of commitment that volunteer admins require. In new UI we separate this feature into a standalone shift type that user can sign up a drop-in section within a certain time frame that admins dedicate.
Weekly calendar view have all the details and CTA to sign up in one view. It is easier for new volunteers to scan the details of the shift in one view.
